Bank data:

is used to code and label banks with which transactions are conducted. The system prevents the repetition of bank codes and does not allow the cancellation of a bank with associated deposit, transfer, withdrawal, or payment transactions.

Current Accounts

Current accounts are handled in a way that prevents the repetition of account codes and disallows the cancellation of a current account with associated deposit, transfer, withdrawal, or payment transactions. The data includes the current account code, associated bank code defined in the bank data screen, currency (defined in the currency screen), and some statistical data such as current balance, beginning balance, and movement balance. The account code selection list only contains analytical current accounts defined in accounting links.

Currency Exchange Rates

The system manages currency exchange rates to avoid accepting more than one rate per currency. The data in the currency exchange rates screen includes the currency code (defined in the currency screen), the exchange rate, and the date.

Currencies

Currency data is managed to prevent the repetition of currency codes. It includes currency code, currency name, and exchange rate. The system converts foreign currency to its equivalent value in the local currency.

Cash Deposits

Cash deposits contain data about the current account where the deposit is made and the treasury account from which the withdrawal is made. Deposits are made by the treasury officer or through banks.

Cheque Withdrawal Authorization

A cheque withdrawal authorization contains necessary data for registering cheque withdrawal transactions. If a previous authorization is entered, the system displays its data. The crucial part is the registration table for expense accounts, allowing multiple expense accounts to be directed to the same authorization.

Inter-Account Transfers

The program facilitates transfers between current accounts by moving cash between different accounts. It deals with the current account codes being transferred, the transferred amount, and additional information for clarification. It also specifies the currency type, which is converted to an equivalent local currency value by the program.

Bank Expenses

Bank expenses contain essential data to complete information about the expense document. If a previous document number is entered, the system displays its data.

Bank Reconciliations

Bank reconciliations contain necessary data for registering reconciliation notices. If a previous notice number is entered, the system displays its data.

Treasury Accounts:

Treasury accounts involve the management of treasury-related data, ensuring that the system does not allow the duplication of treasury codes. Additionally, it prevents the cancellation or modification of initial balances for a treasury where transactions, such as additions, transfers, or withdrawals, have occurred.

Treasury Custodians:

The database of treasury custodians includes codes and names of individuals responsible for the treasury. The system prohibits code duplication and the cancellation of a custodian who has conducted transactions with the specific treasury. To cancel a custodian, it is necessary to first clear all transactions associated with them.

Cash Withdrawal Voucher:

The cash withdrawal voucher includes essential data fields for completing the document. Necessary input includes the voucher number, date, and, where applicable, the recipient. The critical part of the document is the registration table of expense accounts, allowing the allocation of multiple expense accounts to the same voucher number. This reflects flexibility and ease for treasury operations, avoiding the need to allocate a withdrawal voucher for each transaction.

Cash Collection Receipt:

Basic information is recorded through the cash collection receipt, such as the receipt number, the treasury code where the deposit is made, the amount, and any relevant notes. It's crucial to consider the account code (to account) to which the deposit will be directed, as this code will be the credit side of the accounting entry when creating accounting records.

Treasury Transfers:

Treasury transfers involve the movement of cash between different treasuries. The program handles the treasury codes involved in the transfer, the transferred amount, and any additional notes for clarification.

Treasury Adjustments:

Treasury adjustments occur when there are discrepancies in balances. A notice of adjustment is created, recording a unique number, date, the intended adjustment amount, and the date of the transaction. The note also includes the account code to which the adjustment is directed, providing details for the accounting entry.

Cash Deposits

Cash deposits are similar to other documents, especially cash collection receipts, with the difference that the account number here is the current bank account to be deposited, directly affecting the bank's current account and the treasury from which the withdrawal is made.
